Administrative Assistant

The Administrative Assistant is responsible for providing organizational and operational support in the development and execution of event projects and proposals. This individual will have an opportunity to participate in special assignments and projects which will enhance their career development and growth.
– Maintains accurate and up‐to‐date records and files for all event management projects.
– Manages vendors and suppliers.
– Secures all required contracts, invoices, proof of insurance and other documentation as needed.
– Maintains current information in corporate databases for business contacts, consumer databases, sponsors and vendor lists.
– Creates proposals, contracts and invoices for clients, sponsors and vendors.
– Manages proposal and contract tracking.
– Develops event specific organizational tools such as production timelines, contact lists, on site and off site delivery schedules.
– Provides research support and completes tasks required for event execution.
– Manages collateral production for printed materials, brochures, signage and other marketing pieces.
– Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

Job Description:

– Maintains customer confidence and protects operations by keeping information confidential.
– Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
– Provides key support to overall team operations by planning internal staff meetings, preparing meeting agenda, recording discussing and providing follow up reports.

– Excellent communication skills: verbal, administrative writing and creative writing

Event Planner/Coordinator

Baltimore’s Best Events is looking for a full-time/part time event planner and/or coordinator.  Must be an excellent multi-tasker, well organized, comfortable with computers, and great with customer service.


Responsible for coordinating events, including planning menus, booking musicians, putting up decorations, ordering flowers, hiring bartenders, and ensuring the event runs smoothly.


– Coordinate details of events such as conferences, weddings, birthdays, anniversaries, charity events, surprise parties, trade shows, sales meetings, business meetings, employee appreciation events and virtual events.
– Calculate budgets and ensure they are adhered to.
– Book talent, including musicians, bands, and disc jockeys.
– Select chefs or catering companies to prepare food for event.
– Sample food and select dishes for menus.
– Visit venue to plan layout of seating and decorations.
– Schedule speakers, vendors, and participants.
– Coordinate and monitor event timelines and ensure deadlines are met.
– Initiates, coordinates and/or participates in all efforts to publicize event.
– Prepare presentations.
– Develop and oversee fundraising events.
– Negotiate and secure event space.
– Secure sponsorships.
– Work with graphic designer to coordinate event invitations.
– Hire staff to manage the event, including bouncers and security personnel.
– Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
Keep inventory of backdrops, projectors, computers, and other display materials.

Event Production Assistant

The Event Production Assistant will work closely with the Event Coordinators to ensure that all production-related elements are efficiently handled in a timely and professional manner. This is a catch-all position perfect for someone looking to break into the event production industry as you will learn aspects about all areas. The ideal candidate will be comfortable wearing many different hats at once, and will be extremely detail oriented with strong communications skills and the ability to follow precise instructions. In addition, this position requires someone who is a self- starter and enjoys working in a fast-paced, small office environment.  The ideal candidate will be proficient with calculation and grammar also (this will be explained in further detail during the interview process)

Responsibilities include but are not limited to:

  • Assist with all event preparing, sorting, packing, unloading and re-loading, and the organization of all event materials.
  • Assist with office related errands, including drop-offs and pick-ups of event materials.
  • Prepping, cleaning and maintaining décor for upcoming events
  • Assist with creating décor and centerpieces

Warehouse Operations

There is an immediate career opportunity for a dependable employee to efficiently support the warehouse and delivery operations at Baltimore’s Best Events. Strong warehouse and delivery experience is necessary. Experience with computers is beneficial.
